A site visit ends with a head full of specifics: the panel that needs replacing, the measurement that changed, the thing the customer mentioned at the door, the material to order. Then comes the drive, two more stops, a phone call, and by the time anyone sits at a keyboard, the crisp list has gone soft. What survives to the work order is the outline. The details, the profitable part, leak.
The fix is not discipline. It is capturing at the moment of knowing, and the moment of knowing happens in the truck.
Talk, then drive
The workflow is one habit: before pulling out, record a voice memo. Rambling is fine, order does not matter, half-sentences are fine. The automation transcribes it and does the structuring: customer, location, scope items as a list, materials mentioned, measurements, follow-ups, anything sounding like a promise to the customer flagged.
By the time the truck is back, the draft work order is in the queue with the original audio attached, waiting for a quick review rather than a from-scratch write-up.

From one two-minute memo, the structured record typically carries:
- Scope items, each its own line, ready to price
- Materials and quantities mentioned, ready for the supplier order
- Customer commitments, the we-can-have-that-done-by-Friday sentences, surfaced so they do not become surprises
- Open questions, the things the visit could not answer, as a follow-up list
